The role
We are seeking a dependable and proactive Project Administrator to join our growing team. This role works closely with the Director/Project Manager to coordinate daily project activities, manage documentation, liaise with stakeholders, track schedules and budgets, and support compliance and quality standards.
Key Responsibilities
•Oversee and coordinate the end-to-end administration of residential construction projects across multiple Sydney sites, ensuring delivery in accordance with project timelines, budgets, and quality standards.
•Collaborate with the Director/Project Manager and site personnel to plan and coordinate construction activities, subcontractor scheduling, and site operations across all project stages.
•Monitor project progress, schedules, budgets, and variations; respond to project-related inquiries and implement corrective actions to maintain project objectives.
•Liaise with architects, engineers, certifiers, subcontractors, suppliers, councils, and property owners to facilitate construction activities and ensure compliance with approved drawings, Australian Standards, and relevant building regulations.
•Coordinate the procurement and timely delivery of construction materials, and arrange equipment and machinery hire to support site operations and scheduling.
•Maintain and manage comprehensive project documentation, including variation records, WHS documentation, invoices, inspection reports, purchase records, and correspondence.
•Prepare project progress reports, expense records, and management summaries; advise senior management on matters requiring attention and implement decisions as directed.
•Support oversight of subcontractor and contractor performance on site; identify and escalate delays, defects, or variations to the Director/Project Manager.
•Apply project management tools and software to support scheduling, milestone tracking, and reporting.
•Collect and analyse project data to support informed decision-making, continuous improvement, and project administration.
Qualifications & Experience
•Bachelor's degree or above in Business/Engineering/Construction Management, or a related field.
•At least 1 year of relevant work experience in a project administration or construction coordination role, preferably within the residential construction industry.
Key Skills & Competencies
•Sound understanding of project management principles in a construction environment.
•Ability to read and interpret construction plans, drawings, and project documentation.
•Strong organisational skills and meticulous attention to detail.
•Ability to manage multiple priorities, meet competing deadlines, and work under pressure.
•Excellent written and verbal communication and interpersonal skills.
•Proficiency in Microsoft Project and related project management software.
•Fluency in both English and Mandarin is desirable to communicate effectively with clients, suppliers, and subcontractors.
