Full-time, permanent Project Administrator / Personal Assistant role in Inner North Brisbane

Your new company
The construction arm of this business specialises in delivering high-quality solutions for commercial and infrastructure projects, supporting builders, engineers and contractors from design through to installation. With a strong emphasis on quality, compliance and durability, the construction team is experienced in working within active sites and complex builds, coordinating closely with other trades to meet strict safety, programme and specification requirements while delivering practical, visually refined outcomes.
Your new role
In this newly created position, you will be supporting the CEO and Construction Manager as a Personal Assistant with the view to developing into a Project Administrator. You will be working entirely in office and be responsible for:
Executive & Personal Assistance

  • Manage CEO & Construction Managers' calendars, inboxes, and priorities
  • Draft, review, and respond to correspondence on behalf of executives
  • Coordinate meetings, appointments, and occasional travel
  • Anticipate needs and provide proactive, high-level support

Project Administration

  • Provide end-to-end administrative support across multiple construction projects
  • Maintain project documentation and reporting systems
  • Prepare monthly and ad hoc project reports
  • Assist in preparing subcontract and trade package documentation
  • Support progress claims, variation claims, and cost reporting
  • Liaise with internal teams, subcontractors and key stakeholders
  • Support the wider project team with administrative tasks
  • Identify opportunities to improve processes and efficiency

What you'll need to succeed
Ideal for a proactive, highly organised professional who takes initiative and anticipates needs. Your proven experience as a Project Administrator and/or Personal/Executive Assistant will be highly beneficial, as well as:

  • Experience within the construction, project, or trade industry
  • Strong organisational skills and the ability to manage multiple priorities and deadlines
  • Proactive mindset with the ability to anticipate needs and take initiative
  • Excellent written and verbal communication skills
  • Experience supporting project teams within construction or project-based environments
  • Strong problem-solving skills and adaptability
  • Tech-savvy with proficiency in Microsoft Office and project systems
  • Ability to build relationships and liaise effectively with stakeholders at all levels
