The Role

We are seeking an experienced and organised Office Manager to oversee the day-to-day administrative, student, staff, and operational functions of the college. This role plays a key part in ensuring smooth office operations, regulatory compliance, and high-quality support services for students and staff.

Key Responsibilities Administrative & Office Management

  1. Oversee daily administrative operations and office workflows
  2. Manage filing systems, records, databases, and administrative processes
  3. Supervise administrative and support staff to ensure efficient operations

Student & Staff Coordination

  1. Coordinate student enrolments, admissions, records, and inquiries
  2. Support student orientation and administrative communication
  3. Manage staff rosters, attendance, meetings, and onboarding

Financial & Facilities Administration

  1. Process invoices, payments, student fees, and maintain financial records
  2. Assist with budgeting, expense tracking, and supplier coordination
  3. Oversee office supplies, facilities maintenance, WHS compliance, and services

Compliance & Reporting

  1. Ensure compliance with RTO, CRICOS, and regulatory requirements
  2. Maintain audit-ready records and support compliance reporting
  3. Prepare management reports, statistics, and operational documentation

Communication, IT & Events

  1. Manage correspondence, phone calls, emails, and general inquiries
  2. Coordinate college events, meetings, graduations, and visitor arrangements
  3. Oversee student management systems, IT coordination, and data security

Skills & Competencies

  1. Strong office and administrative management skills
  2. Knowledge of education sector operations (RTO/CRICOS preferred)
  3. Excellent organisational, communication, and leadership abilities
  4. Experience in student administration and compliance documentation
  5. Financial administration and record-keeping skills
  6. Ability to manage multiple priorities and meet deadlines
  7. Proficiency in office software, databases, and student management systems

Qualifications & Experience

  1. Relevant qualification in Business Administration, Management, or related field
  2. Minimum 1 year of relevant experience in office administration or education management
  3. Previous experience within an RTO or CRICOS environment will be highly regarded
