Flash Line Marketing Pty Ltd trading as Flash Line Transport is a transport and logistics business located in Camellia, NSW. The business provides reliable transport support, operational coordination and logistics services to customers across NSW. As the company continues to manage growing transport, customer and operational requirements, we are seeking a skilled Contract Administrator to join our team and support the effective administration of contracts, documentation, compliance records and day-to-day transport operations.

Salary Range: $75,000 to $85,000 plus superannuation (depending upon experience & skills)

Role: Full time

Location: Camellia, NSW 2142

Main responsibilities

  1. Preparing, reviewing, maintaining and administering transport service contracts, customer agreements and related business documentation on behalf of the company.
  2. Interpreting contract terms, service requirements, delivery obligations and agreed customer conditions to support accurate contract performance.
  3. Assisting with the review of contract variations, service amendments, pricing changes, delivery requirements and updated customer instructions.
  4. Maintaining accurate contract files, service records, compliance documents, customer correspondence and operational documentation.
  5. Monitoring contract obligations, key dates, service requirements, renewal periods and documentation requirements to ensure contracts are managed effectively.
  6. Liaising with customers, drivers, supervisors, management and external stakeholders regarding contract requirements, service delivery issues and documentation matters.
  7. Responding to contract-related enquiries and assisting with the resolution of issues concerning transport services, customer requirements and service performance.
  8. Supporting management in reviewing service arrangements, contract performance, operational outcomes and matters requiring attention.
  9. Preparing contract administration reports, service summaries, KPI updates, invoice support documents and operational reports for management review.
  10. Assisting with invoice verification, service record reconciliation and documentation checks to ensure billing aligns with agreed contract terms and completed transport services.
  11. Coordinating documentation for new customer service arrangements, contract renewals, service changes and ongoing transport administration requirements.
  12. Identifying discrepancies, documentation gaps or service variations and assisting management to implement appropriate corrective action.
  13. Supporting compliance with internal procedures, customer requirements and transport documentation standards.

Qualifications & Skills

  1. Relevant qualification in business, management, business information systems, administration or a related field.
  2. Minimum 1 year experience in contract administration, transport administration, logistics support, operations administration or a similar role.
  3. Strong documentation, data entry and record management skills.
  4. Good understanding of transport, logistics or operational administration will be highly regarded.
  5. Experience with invoice checking, reporting, data reconciliation and customer service support.
  6. Strong Microsoft Office skills, particularly Excel, Word and Outlook.
  7. Excellent communication and coordination skills, with the ability to liaise with drivers, customers, supervisors and management.
  8. Strong attention to detail and ability to maintain accurate business and contract records.
  9. Ability to work independently and as part of a team in a fast-paced transport environment.
  10. Good problem-solving, organisational and time management skills.
